This WiP Ledger allows the ability to Add a WiP Journal, Write Off/Up, Synchronise and Dispose WiP. The wip ledger also has the ability to print reports and change grid views as desired.

The WiP Ledger top Search section has the following

 

Master Entity - select the relevant Master Entity linked to customer for wip journal records.
Period - select the relevant period for wip journal records.
Display Type - allows the ability to filter the grid by Chargeable, Non-Chargeable and Both.
Display Advanced Fees - Controls whether to hide or display Advanced Fees and the column conveying this information.
Display Period Analysis - Toggles the display of the 'Period Billed', 'Written Off' and 'Written Up' fields.

 

The following topics are contained in this section - Master Entities, Periods, Customers, Projects, Activities, Expenses and Rates. These topics are configurable in there respective sections.

 

 

Add WiP Journal

The add WiP journal button is used to add activities (Time Entry) and expenses to WiP in much the same way that ALLtime does.

On this screen you can select the following information:

Activity Type - this option simply allows you to specify if the journal is a time entry or an expense entry. With 'Time Entry' option selected, the below options are available
Master Entity - the master entity linked to the relevant customer. Please note, when disabled means the person creating the record does not have the permission to change a master entity. Such permission is maintained within the User record at Settings > Security > Users > Department/Analysis > Allow Multiple WiP Master Entities.
Customer - who the work is being completed for
Matter - the project being worked on.
Sub Matter - the sub project being worked on (where applicable).
Activity - the activity carried out for the customer
Date - When the work was completed.
Start time - When the work was started (not available for expenses).
End time - When the work was completed (not available for expenses).
Units - Number of full units of time spent on this work for example there could be 4 units per hour, this is setup in ALLtime maintenance.
Amount - The total cost of the work (this may pre-populate based on the Rate set and the time frame).
Chargeable - identifies if the customer is paying (or is to be charged) for this work.
Rate - The cost per hour for the work being carried out. See Charge Rates for configuration.
Narrative - Enter any information about the journal into this box.

 

If you select the expense option the bottom half of the screen will change from the above screen to the below screen:

The Rest of the Fields are described below:

Expense - Select which expense is being carried out as part of this work.
Uplift - Percentage of additional cost added to the amount field (for Expenses).

 

Once all of this information has been added you can click the save button to add the WiP journal to the system. Please note, the Add Wip Journal option will be disabled if user does not have security (WiP - Journal in the security tree) or the Master Entity WiP Control Accounts has not been configured for the Master Entity.

 

 

 

Write Off/Up WiP

This option allows the ability to write off and up a wip journal if required. This option will be disabled and enabled once the lower grid selection is highlighted with a wip journal record with user having the security for such action. Selecting the appropriate relevant radio button for Write Up and Write Off would populate the relevant field as required to enable action required. The write off is used to decrease a wip journal amount while the write up is used to increase a wip journal amount.

Synchronise Wip

This option is used to synchronise the wip time and expenses total balance to the General Ledger. This option will be disabled if user does not have security or the Master Entity Synchronise option has not been enabled for the Master

Entity.

Dispose WiP Journal

This option is used to dispose wip journal for a Customer. This option is only available for non-chargeable Matter and will be disabled and enabled once the lower grid selection is highlighted with a wip journal record that is non chargeable

with user having security for such.

Lower Grid View Options

There are two grid views available for the lower grid section in the WiP Ledger screen. These are Full Grid and Drill Down View. The

 

Full Grid

This will show on the lower grid section with all the wip journal entries available for the customer selected in one view without having to drill down with all the relevant information available on the grid. When the Full Grid is been used, the left panel View will read 'Switch to Drill-Down View'.

Drill Down View

Unlike Grid View, the Drill Down View will show the lower grid section in a drill down mode as indicated with its name. This will then display the section by Matters and enable drill down as required for the Time and Expenses records.

The WiP Ledger section is controlled by security which is maintained at Settings > Security > System Security > enVisual4 > enPractice > Work In Progress
