User Defined Shortcuts

The user defined shortcuts menu bar allows the user to create launch buttons for many different types of object within enVisual providing a means of quick navigation for an individual users common tasks. Shortcuts are maintained on a user specific basis.

 

By default the menu bar is hidden. To show the menu bar click the show/hide button located at the bottom of the enVisual window.

This will display the user shortcuts menu on the left hand side of the workspace.

The menu bar is divided into several panels that provide organizational nodes for storing shortcuts. To select a node click the required panel label.

Right clicking on the short cut panel will provide management options.

This function allows a shortcut to be created on the currently selected panel. This launches the define shortcut screen where the shortcut can be configured.

Type

This defines the shortcut type required.

 

Report

This allows the shortcut to be configured to launch a report, which has been configured in enSelect, to be executed. If a grid is open and a row selected, the entity code of the selected entity can be passed to the report automatically. If a CRM grid is not currently open or no row is selected then the system will launch the GES allowing the user to select an entity.

 

External Application

The shortcut can be configured to launch a third party application such as Microsoft Word or Microsoft Excel directly from within enVisual.

 

STQ

This allows the shortcut to be configured to execute an STQ that has been defined within enVisual

 

enFocus – Launch Display

This will provide a shortcut to launch the enFocus display against an entity that has been selected within the currently displayed grid.

 

Document \ File

This allows the shortcut to point at a file. When this option is selected the file will then be launched from within enVisual using the default program defined in windows for that file type.

 

Web Address

This allows a shortcut to a web link to be defined, the web link can be either Internet or Intranet, which can be useful for accessing frequently used resources.

 

Shortcut Label

The shortcut label is what will appear beneath the launch button on the menu panel.

 

Image

This is non mandatory but allows the user to place an image on the launch button from the selection available in the drop down list. Use of different images can provide the user quicker recognition of functions.

 

Calling Object

The calling object will vary dependant on the type of shortcut selected and options available will be automatically altered by the system dependant on the contents of the type field.

 

Report Type

This will offer a list of reports currently configured in enSelect

 

External Application

This will offer a browse button to the right of the text box allowing the user to select the executable file.

 

STQ

This will provide the user a list of currently available STQ’s defined in the system.

 

enFocus – Launch Display

This disables the calling object option as this is defined by the system

 

Document \ File

This will offer a browse button to the right of the text box allowing the user to select the file.

 

Web Address

This leaves the calling object field blank allowing the user to type or copy and paste the HTTP link into the box.

 

For example the below screenshot shows a launch configuration for a report, that will print the contact details of an entity currently selected within a grid.

When right clicking on a defined shortcut on the menu panel, this function will allow any element of the shortcut configuration to be changed.

 

The export function allows defined shortcuts to be exported to a file. This allows shortcuts to be transferred to another enVisual system. Shortcuts are imported by using the import function located on the enVisual power button menu system.

To export shortcuts, click the export function, provide a file name and the shortcuts will be saved to a ‘.SCE’ file, which is then portable between enVisual systems.

 

Exported shortcuts can be imported into different users by running the shortcut as a script (open the export and copy the lines). The 'usercode' section highlighted below will need to match the user that the shortcut will be copied to.

 

Import Usercode

 

E.g. Import to user SUPER2 would be 'SUPER2' in place of :UserCode

 

This function allows a complete set of shortcuts defined within all panels to be transferred between enVisual users.

 

Selecting this function will open the user selection form.

Select the user or users to which the shortcut structure is to be copied.

 

This function allows a system administrator to define several shortcut structures only once for each type and then apply them to organizational units within the company.

The send to function provides the ability to transfer shortcuts between panels within the same structure or to transfer a single shortcut a different user.

To transfer a shortcut from one menu panel to another, select the send to option, short cut bar and then select the required short cut bar from the list. The short cut will then be moved for the current user.

 

Selecting user short cut bar will launch the user selection form. Select the user(s) to transfer the shortcut to. This provides an easy method for users to transfer shortcuts and saves time in configuring for each user.

 

This is a security controlled option and will lock the shortcut in place so that it cannot be deleted.

 

Providing the shortcut has not been locked this will remove the shortcut from the menu panel completely. Once deleted if the function is required again a new shortcut will need to be configured.

To launch a short cut navigate to the required menu panel and single left click on the button this will launch the function.

 

For example;

 

Using the ‘Print Contact Details’ shortcut as an example. (Report Type Launch)

 

This shortcut has been configured to launch the contact details report allowing the user to print out contact details for a selected entity.

When I click this shortcut this will launch the defined report in preview mode allowing print and export options. If I have a CRM grid open and an entity row selected when I click the button the details will be automatically passed to the report. If I do not have a CRM grid open when I click the button the GES will open allowing me to select an entity.

hmtoggle_arrow1Alternative Methods of Creating Shortcuts

Standard enVisual functions can also be configured as shortcuts, this can be done in one of two ways

 

For standard menu items the mod bar menu has an additional function available via right click. This option allows the currently selected menu item to be copied to the currently selected shortcut menu panel.

 

For example;

 

To transfer the tasks option to the shortcut menu;

 

With the enCentral tab focused, right click on the ‘tasks’ option on the left hand side mod bar menu. (If this menu is not visible please refer to navigation)

Select the send option and then the shortcut option. This will then launch the shortcut configuration form.

The type and calling object fields are not visible as these have been automatically completed by the system, but the user can still change the label and the icon used on the shortcut.

 

In this example it has been changed to scheduler and a suitable icon.

Click the ok button to create the shortcut. This shortcut will then launch the same function as the original enVisual menu, allowing the original enVisual menu to be hidden.

The CRM grids used within enVisual have right click options allowing functions to be directly executed against a selected entity or row within the grid.

 

These functions can also be sent to the shortcuts menu.

Any menu items marked with an asterisk ‘*’ can be sent to the currently selected shortcut menu panel.

 

To do this navigate to and hover the mouse pointer over the required menu option. Then press and hold the shift button on the keyboard and single click on the mouse.

 

This will close the menu and launch the shortcut configuration form. The shortcut can then be configured in the normal way as described above.
