Adding Invoices/Fees

You can create a fee in the Billing Tree by right clicking the 'Unposted' section and selecting 'Add New Fee' or by using the standard 'Add Fee' button on the left hand panel (top most button).

For the Billing Grid, new fee's can be raised again by using the top most side panel button.

The following window will open showing the available options for invoice creation.

Click on next and select the Master Entity (billing entity) you wish to bill from. This form will default to highlighting the currently selected Master Entity in the grid.

Now click on next to go to the customer selection screen as shown below:-

Select the customer you want to bill. There are options on this screen to find a customer where large lists are present, or apply a category filter to see just customers of that category. You can also select more than one customer if all the fee details are the same for the group.

Click on next when you have selected a customer/customers.

Now select the fee type. These field is user definable and are used for analysis.  The currency field will default to the billing currency of the customer.  However, if multiple customers are selected then this will default to the currency of the billing entity.  In both cases an alternate currency can be selected.

 

Select the fee layout and cover note layout and a description for the invoice if required.

 

The Check boxes to the bottom are as follows;

Set as Pro-forma - This will place the invoice in the Pro-forma section of the billing tree

Authorised - If checked the invoice has been authorised for posting this can be controlled by security so only certain users can authorise an invoice.

Attach Reports - Setup reports that must be sent in relation to selected invoice.

 

The invoice date will default to today’s date or if in a previous financial year it will default to the last day of that financial year. The due date is taken from the terms defined with the Billing Customer

 

If the 'Attach Reports' checkbox is ticked the next button will open the report communication view. Pre-written reports can be added to the invoice here.

Click on next to display the fee line entry form.  From here you can add as many fee lines as you wish.  Each fee line can be of a different type including:-

Manual fees

Ad valorem fees

Product fees

Advanced WIP fees

Each fee line can be mapped to it’s own revenue account, once all lines of the invoice have been added the results can be previewed in a report, or summary screen viewed by selecting the next button.

Upon clicking finish, the invoice will be created and added to the unposted batch to be authorised and posted as necessary.
