The Document Operations section of the Search Menu contains buttons to perform different operations on the selected document, all of which can also be accessed by right clicking on the document in the search results. The options available in this section are listed below.
The branch document option is used to check in an additional document with the same details as the original document, an example of this is adding the same type of document for a different person.
If a document has been changed by mistake or has been incorrectly changed this option can be used to revert the document back to a previous version.
The Merge Documents option is used to combine multiple related Documents into one document.
This option is used to delete a document, to delete a document you must give a reason for the deletion, and you can select if you want to permanently delete the document. If you don't select the permanently delete document option, the document will be sent to the recycle bin in LiveFile, where it can be restored at a later date, if needed.
Selecting a document and pressing the Change Access Permissions will display a screen where you can change the permissions of the document, these permissions are initial setup when you publish a document, and are explained in detail in LiveFile Publish.
When in the deleted documents screen, this button can be used to restore a deleted document.
There are two additional file operations that are not on the document operations menu, but are available on the right click menu, these options are detailed below:
The Send Documents option is used to send copies of the document out to external organisations, for example sending a document out to the client, this will then save a record that a copy of the document has been sent out to the client.
The Send Document screen is shown below.
On this send document screen you can select which client the document is being sent to, and enter some notes relating to why the document is being sent out.
The Move Document option is used to move a document to a different user or a client, the move document screen is shown below.
On This screen you can select if you are sending a document to a different user or out to a client. If you are moving a document to a different user you can select if the document will be moved to the user permanently, and which user you are moving the document to.
If you are moving the document externally, for example sending a document to a client to be signed, you can select which client the document is being sent out to.
finally you can select a date that the document should be returned and any comments regarding this document movement.
