AutoDocs Service Configuration

All configuration options must be configured before the service and product can be used.

 

1.Configure two separate network shares on the enEvent6 AutoDocs server
a.The first share is to be used for a watch folder

The watch folder is a temporary storage location for files/items to be deposited so the enEvent6 AutoDocs service can process them.  Once processed the files will be moved to the destination folder

b.A mapped network drive must be configured to link to the watch folder so that it can be easily accessed by the users without directing them through UNC path.
c.A second share must be created for the destination folder

The destination folder is used as a permanent storage location for files/items that have been processed by the enEvent6 AutoDocs service from within the watch folder.

 

2.Add additional security to the destination folder as required.
a.We recommend that the user desktop be locked down using a security policy that stops the desktop user from browsing the network and accessing the share paths directly through a UNC path
b.The watch folder does not need any special security adding as items are removed once processed

3.Open the enEvent6 configuration utility on the server from the newly installed icon

 

4.Login with user credentials that have been assigned the correct module security

5.Please configure the server connection section

a.Because the application can support multiple server links please specify which server to connect to using the Server selection option drop down list
b.If this is the first installation then no server will be available from the drop down list, so please use the add host button to create the required server link
c.On the add host screen please type the name of your host server correctly (this is a server running the Auto Docs service)

 

Note:The remove host will remove the link to the advised server AND all the linked data within the configuration table, which means that if this is done against a valid server then the configuration data will need to be reconfigured once again.

 

6.Now configure all the options within the configuration section of the toolbar

7.Under the general option, please set the general settings and file handling options as required. The information below will advise list the options on these screens and then a screen shot showing advised defaults will be included.

 

General Settings > General Settings:

Watch & Destination folder paths

 Please set this to a valid UNC share linking back to the enEvent6 AutoDocs server

File Filter

This filter allows specific files to be included in the transfer only, excluding all other file

Scan Sub folders

This setting dictates whether just the main watch folder is searched and items processed or if all sub folders below are also checked.

Folder Pre-Scan

 This setting allows the scanning of the watch folder at service start-up.

This is a mechanism for re-working items that may have been moved to the watch folder while the watch service was not running.

 Retry Timer

This setting allows you to set the time interval between a failed file process and the retry attempt.

         This figure can be increased or decreased as required.

We recommend setting this value fairly low for testing, and to increase it once the service is in full working operation

 

 General Settings > File Handling:

 Publish Method

This setting allows the files to be directly published into the LiveFile database or processed to the publish queue for checking before being published into the database

 Storage Method

This setting allows you to choose whether the file is moved into LiveFile/Publish queue as a standard document (the LF database only contains links to the file) or as a version controlled which will push the file into the database so it is locked and controlled through the LiveFile database.

 Responsible User

This setting is to assign a default responsible user to the file as it is processed through the system

 Responsible Assigner

This setting is to assign a default responsible assigner to the file as it is processed through the system

8.Under the logging tab, please set your logging preferences as required. The information below will advise list the options on these screens and then a screen shot showing advised defaults will be included.

 

 Logging Options > Settings

 Log Format

This setting allows you to set the logging mechanism to use either the SQL database or a basic text file

 Note:  Setting the log to write to the database provides more filter options when viewing later

 

 Cycle Time

         This setting allows the cycle time of the log file to set

 Logging Level

         This setting allows the amount of data stored in the log to be set.

The debug option stored the most, but the best setting for customer use is the information setting.

         Logging Options > Database

 Process Delay

The logging mechanism includes a purge process for removing older item based on the logging cycle time.

         This option sets an offset time between the logging starting and the purging process

This can be altered to accommodate different system databases and server specification machines to offset SQL server load.

9.Under the Levels tab, please configure the defaults as required. The information below will advise list the options on these screens and then a screen shot showing advised defaults will be included.

 

The levels section allows some defaults to be configured within the system so that items dropped into the watch folder without being correctly linked to an entity, document type or form type can still be processed in an efficient way.

 

Directory Levels > Levels

Business Unit >

This option is for future configuration and not required in this version, however must be to “Single Unit” to allow the existing version to work correctly.

Entity Name >

This setting allows a default entity to be assigned if an item is dropped directly into the watch folder.

Document Type >

This setting allows a default document folder type to be applied to an item dropped directly into an entity folder

 Form Type >

This setting allows a default to form type to be added to a folder dropped directly into an entity and document type folder

Auto Create Business Unit

This option allows the service to auto create new business unit folders within the destination folder when they do not exist (once again at present this needs to be set, but is not fully useable)

Auto Create entity

This option allows the service to create new entity folders within the destination folder when they do not exist

 

Auto Create document types

This option allows the service to create new document type folders within the destination folder when they do not exist

Auto Create form types

This option allows the service to create new form types folders within the destination folder when they do not exist

10.Under the Coms tab please configure the defaults as required. The information below will advise list the options on these screens and then a screen shot showing advised defaults will be included.

 

This feature allows our service to be contacted directly from other applications through a TCP/IP communication channel.  This option allows the settings to be configured as required within your network.

 

Communications > Communications

Host Name

This option must be set to the host name of the enEvent6 AutoDocs service for communication.

 Please set this name to the server name of the enEvent6 AutoDocs server

Port Number

 This option allows you to configure which port will be used for communication

 This allows for more flexibility within your network and firewall settings.

11.Once any of these screen settings have been changed as save button will become available on the left hand side to save the page configuration

12.Once all of these required settings have been configured you can start the enEvent6 AutoDocs service from the service section of the toolbar
a.The service can also be stop here at any time for server/service maintenance as/if required

13.The service should now be running ready for use
a.This is confirmed by the start button no longer being available, whereas the stop button will be

 

14.The ribbon bar also includes a log tab, which can be used to view the log as required.
a.Clicking the view option will show the log as shown in the example below
