Creating a Credit Note

enPurchase allows for the creation of credit notes which can be applied to any previously created enPurchase invoices, or suppliers directly. These credit notes are different to the ones created in the enFee module, and can only be used in conjunction with Purchase invoices.

 

There are two important points to note when creating and assigning a purchase credit note;

When a credit note is linked to an invoice, the remaining balance of said invoice will be affected when performing any future settlements.
When a credit note is linked directly to a supplier rather than an invoice, the overall balance of the Purchase Ledger will be affected in the applicable period instead.

 

enPurchase credit notes are created in the same manner as creating an invoice within the enPurchase Invoices grid. However,  the 'Type' field should be changed to credit note instead. This will enable an additional empty (by default) field located to the right of 'Type' where the user can choose a specific invoice (for the currently selected Supplier) to assign the credit note to.

Note: Leaving the additional field blank will assign the credit note directly to the Supplier (and thus, will not subtract the Credit Note amount from any future invoice settlements).

E.g. A credit note is assigned directly to 'All Types Business Centre' for £500 and posted, the user then creates a settlement for Invoice #1 that has a total value of £1000, the invoice amount will remain £1000 - in order for the invoice to be reduced in remaining balance down to £500, the credit note will need to be directly linked to Invoice #1.

 

On the second screen the user is able to add lines to the credit note, including the expense account and amount of the credit note (amount cannot exceed the total amount of the linked invoice).

Once completed the credit note can be finished and posted. The Purchase Ledger will update accordingly and display a record of the credit note, which can viewed in depth by selecting the 'View Batch' button highlighted below.
