Add Document Using the shortcuts above or by selecting from the right click menu the following screen will open
On the Main detail tab the Client, Document type, and Custodian can be selected from the drop down lists. If a new document type or custodian need to be selected - click on the links highlighted. Date fields allow the recording of when the document was deposited as well as Start and expiry dates for the document.
Add New Document Type
Add New Custodian view Entities setup on enVisual can be selected as custodians.
The Location Details tab tracks the location of the Document and identifies if the document is held electronically, it also allows the document to be consigned to a package. Clicking on the highlighted icon displays the full address details of the custodian.
The Sub location further breaks down the actual location of the document.
Edit Document Opens the Document Detail screen and allows changes to be made.
Delete Document This action will remove the document and all its History
Document Search This opens the following search screen allowing the tracked document to be found quickly.
View E Document Only available if the item being tracked is stored in this format.
Transfer Document The transfer document option opens the following view split into tabs for current Detail and New Detail - simply populate the fields with the new information and click ok to complete the transfer. Refresh the Document screen to see the changes.
Show Details Opens the Document Detail window. Contains shortcut buttons to view an E Copy (if applicable) of the document and the option to transfer the Document.
Show Document History Opens the History view. Displays an audit trail of the document showing changes in Custodian, User making the transfer, and Date Transferred. Return to the Document view by the highlighted back button.
