Email Templates

Configure > Maintenance > Communication > Email Templates

This can be used to set up regular email to clients. This can be sent to numerous areas of entity relationship, which can be current, parent, absolute and child. This can also be sent to preferred email if required using the otherwise option. The email templates also enable file to be attached to it and can be added to the Comms Log.

ADDING EMAIL TEMPLATE

User can add a template by right clicking on the screen and select the Add Entry option.

Which will then display the add email template wizard.

Details Page

Here, the user can give the template a name, who to send the template to. This can be sent to anyone in the relationship. The otherwise tick box enable user to send the template to a preferred email address. File attachment area enables file to be attached to the template by pressing the folder icon which will display and open a file adding window.

 

Email Content

ET ADD ENTRY EMAIL CONTENT PAGE

This enable user to enter the content of the email template. Here, the user will enter the subject for the email and the body text. User can also use the standard body types to insert recipient details.

 

Comms Log Details

This enable user to add a Comm Log settings for the email template. User can decide to create a Comm Log for the email template or not and with detail settings to save it with if com log is selected.

 

ET ADD ENTRY COMMS LOG PAGE

Create Comms Log – this will enable user to create a Comms Log for the email template, this will then be displayed on the Comms Log section of the application. To create a Comms Log for email template, user will have to tick this tick box here

Create entry for all CRM recipients – this enable user to create an entry for all CRM recipients, user will have to tick the tick box for this to be created.

Status of comms log entry – this enable user to select the status of comms log to be added. User can select between open and closed status.

Narrative – this enable user to input narrative for the comms log. User can input here, what they want displayed in the narrative area when the comms log is added. User can also use the insert standard types here.

Once all these sections have been completed, user will have to press the finish button to add the email template

 

EDITING EMAIL TEMPLATE

To edit an email template, user will have to select the template first and then right click, select the Edit Entry option. The template wizard will open, user can then edit as required. Editing email template is similar to adding template. Once all the edit has been completed, user will have to press the finish button to save the changes.

 

CREATE SHORTCUT EMAIL TEMPLATE

User can create a shortcut for frequently used template to the envisual homepage icon. To create a short cut, user will have to select the email template first, right click and select the create shortcut option.

The short cut label will be displayed, user can edit this label as required. User can use the image drop down to select an appropriate image for the shortcut. Numerous images are available here

Once all these have been completed, user will have to press the ok button to add the short cut.

 

DELETING EMAIL TEMPLATE

To delete an email template, user will have to select the email template to delete first, right click and select the delete entry. A warning sign will be displayed to confirm action

Once user select the delete item option, the email template will be deleted from the grid.
